Position Purpose

Manage the HR Solutions Team responsible for:

  • Providing an effective and responsive advisory service to all BNP Paribas Hong Kong staff on HR issues, policies and procedures.
  • Ensuring that all employee issues/ queries/ requests are dealt with promptly.
  • Performing other tasks related to employee data management

Direct Responsibilities

HR Solutions Supervision:

  • Oversee the day-to-day operations performed by the HR Solutions team and ensure timely and high quality HR administration
  • Proactively resolve issues escalated by HR Solutions team/representatives
  • Monitor the on-boarding processes e.g. Deliver induction training (benefits briefing), monitor reference check to ensure fit & proper criteria, monitor the work visa application, responsible for various system input/maintenance (PS, IPL, e-Las etc.), establish individual personal file/record, liaise with various departments (ISPL HRSS, Compliance, IT, Facilities etc.), etc.
  • Oversee the off-boarding processes e.g. Ensure a smooth exit procedure with relevant documents & conduct exit meeting, responsible for system input/maintenance (PS, IPL etc.), liaise with various departments (ISPL HRSS, Compliance, IT, Facilities etc.), etc.
  • Supervise the other transversal tasks of HR Solutions but not limited to medical, insurances, leave administration, DSPP, long service award, mortgage loan, etc.

Payroll Team Supervision (Backup):

  • Ensure the monthly payroll process and ensure accurate payment is on time and in line with contract
  • Ensure accuracy of all data (income, deferrals payment, stock options gains, taxable perks) declared in Employer's Return of remuneration for all staff in HK and outbound expatriates and that utilization of rental reimbursement schemes comply with the bank's policy
  • Ensure that the provident fund contributions are done promptly by employers and employees

Permanent Control

  • Assess the applicability of APAC Risk and Control Self-Assessment (RCSA) for local HR RCSA to identify risks and ensure compliance with internal procedures and regulatory requirements
  • Initiate action plans to mitigate risks and follow up on the implementation

Others

  • Liaise with external auditor, Inspection Generale etc in provision of HR-related data and information for audit / inspection purpose
  • Keep proper record of outstanding items in HR sensitive accounts and support the account sign-off as required by Finance Department
  • Any other HR-related projects as assigned by Head of Department

Contributing Responsibilities

  • Make suggestions to the Head of HR Solutions on improvement opportunities with regards to policy
  • (where applicable), efficiency and customer service, e.g. ad hoc communication, process improvements, etc.
  • Contribute to the implementation of operational permanent control policies and procedures in day-to-day business activities, such as Control Plan.
  • Comply with regulatory requirements and internal guidelines.
  • Contribute to the reporting of all incidents according to the Incident Management System.
