What is the role?
The Personal Assistant and Project coordinator will be working directly with the Country Head of BNP Paribas Romania and also with the Regional Head of Change management, with the following mission:
- Assisting and providing constant support to the Country Head, within all the activities related to the role of Personal Assistant.
- Assisting the Country Head and the Regional Head of Communication on all Communication and CSR topics for BNP Paribas CIB Romania.
- Supporting projects management in terms of coordination and follow-up.
Key Responsibilities of role
As PA of the Country Head of BNP Paribas Romania:
- Provides constant support to the Country Head, within all the activities related to the role of Personal Assistant;
- Manages the agenda: arrange internal and external appointments and organize meetings, identify ahead any overlap in the agenda and address them.
- Different meetings and committees: take notes and circulate swiftly draft minutes.
- Travel coordination: coordinates all transportation, hotel reservations and appointments.
- Requests and follows up on business/travel-expense reimbursement.
- Assists the Country Head in preparing the attendance to the working groups of Chambers of Commerce and business forums (Foreign Investors Councils, Banking association, etc.)
- Assists the Country Head in the relationship with Romanian Authorities including Central Bank, Fiscal authorities, immigration desk, etc.
- Liaises and interacts with the Brand, Communication & Quality Central Organization or Regional Communication team (Budapest and Paris)
- Assists the Head of Territory on all activities related to the creation of tools, communication channels and events for internal and external communications, advertising, sponsorship & brand
- Administers and up-dates the entity’s communication tools (including website and generic office address) and liaise with the central teams for the periodical updates regarding design, content, structure of the website.
- Coordinates territory representations (participation of the Group entities) to events such as 14th of July with French Embassy, events of Chambers of commerce, CSR activities, etc.
- Assists in developing and managing at local level a consistent and unifying corporate philanthropy policy for the Group through projects promoting culture, healthcare and social solidarity.
As Project Coordinator:
- Support the Project Managers in planning, organizing and follow-up of daily project activities.
- Track project timelines, deliverables and milestones, ensuring deadlines are met, identifying potential issues and escalating them to the Project Manager.
- Maintain project documentation, including schedules, budgets, meeting minutes and reports.
- Coordinate communication between team members, stakeholders and external partners.
What qualities do we look for?
- Minimum 3 years of experience in banking or multinational companies.
- Bachelor’s degree in Business Administration, Communication or a related field.
- Advanced knowledge and command of Microsoft Word, Excel, Outlook and PowerPoint
- Strong multicultural understanding and interpersonal skills.
- Outstanding organizational skills, attention to detail and problem-solving ability.
- Excellent verbal and written communication skills and teamwork capabilities.
- Able to prioritize work and keep deadlines.
- Willingness to learn and work in a challenging environment.
- Responsible, liable, loyal, having integrity, common sense, diplomacy and tact.
- Fluent in Romanian and English, French is a plus.
