Business area
Business Support Services manages the provision of the following services for the CIB offices in the UK and provides support and advice to other UK entities.
Soft and Hard Facilities Management services, Management of the Health and safety policies and legal requirements, Operational Environmental Sustainability advice, ISO 14001 programme management and legal compliance, Manned security guarding, budget and financial management, Database management including Expense processing and support, Travel management, Moves and changes provision and other building project management
Job purpose
- To provide support services to the UK CIB and Group functions and London Group Entities
- To provide support to the premises and facilities line management.
- To lead the premises strategic project delivery and on the campus, establish and maintain relationship with stakeholders and monitors the progress of the projects (time, completion…)
- To get insights from the data collection (sensor, occupation, flow ...) to help at the decision making and optimise our organisation & approach.
- To support the business functions across the London CIB Campus in all aspects of relocation and re design of office space.
- To coordinate with our suppliers’ peers.
Key responsibilities
- Responsible for leading and managing the delivery of Facilities and premises projects within the London Branch entity to support and add value to the business. This includes the development and implementation of both strategic and operational solutions.
- Communicate with senior stakeholders to support the transformation (Steering committee)
- Liaise with procurement department on negotiating with suppliers to ensure conformity with the bank requirement and maximise economies
- Strong control of the budget
- Identify small to medium project risks, lead reviews, and develop risk mitigation and backup plans
- Ensure all documentation (technical & legal) is maintained accurately throughout the project's durations
- Oversee the small works and the resource allocation via third party suppliers
- Monitor the outsourced M&C coordinators to ensure adherence to project requirements and planning.
- Work with the IFM supplier to identify furniture/ equipment/ fabric requirements and to ensure that value and quality is being observed.
- Understand the future of office spaces, smart office & workspace management
- Ability to interpret trend and digital data from sensors to define occupation, locations strategies, building requirements.
- Implement a range of new working practices when possible
- Manage the inventory of the furniture and equipment in storage (onsite and offsite)
Requirements
- Prince 2, MSP
- Previous experience as project manager fit out projects
- Leadership skills to motivate team impact on quality, efficiency, and effectiveness of the job discipline and department. Excellent communication, ability to influence
- Data analysis experience, Strong data management
- Strong work ethic
- Ability to manage sub-contractor
- Knowledge on critical elements if possible
- In-depth knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
- Knowledge in CAD required
- Knowledge in health and safety requirements for occupation of offices
