Business Area

The Chief Conduct & Controls Office (CCCO) function ensures oversight and delivery of the first line of defence, the permanent control framework and monitoring of risks. The department consists of governance, conduct and controls, data protection and record management. 

The CCCO office reports to the Chief of Staff to the Regional Head of the Securities Services UK & Middle East business line. 

This role will work closely with the broader Chief of Staff Office, Conduct teams, the business, OPC (Operational Permanent Control) Managers and Risk, to support the business in complying with relevant legislation, Group and Metier policies and practices and other Level 1 operational RISK matters.

Job Purpose

The position is for  an Administrator within a small CCCO team based in London. The first objective of the role is to learn, understand and develop key skills required to support key CCCO activities. Once training has been provided and key skills have been learned, there will be potential for the Trainee to provide practical support and assistance across many CCCO tasks. 

Key areas covered by the CCCO team are listed below:

•    Conduct

•    Fraud

•    Financial Security

•    Protection of Personal Data

•    Protection of Confidential Data

•    Record Management

•    TPRM oversight

•    OPC oversight

The Trainee CCCO Administrator will be provided with robust training and support in order to learn all of the key areas listed above. As the CCCO team size is small, there is the opportunity to be involved in all aspects of the CCCO and additional experience in the matters of the broader Chief of Staff team once appropriate training has been completed.

Core accountabilities of role

•    Provide meeting support including set up of meetings, collation of agendas and slide packs, taking minutes, following up on actions 

•    Support the various reporting processes

•    Support the creating and maintenance of processes, policies and procedures within the CCCO remit

•    Support the Conduct Dilemma Training Programme

•    Support the CCCO Share Drive maintenance activities

•    General administration assistance to the CCCO team and broader Chief of Staff team.

Knowledge, Skills and Experience

Essential:

•    Positive, can-do attitude with confidence to ask questions 

•    Numeric skills - confidence with basic maths 

•    Good communication skills (verbal, written, listening)

•    Strong attention to detail: ability to check work carefully and ensure accuracy in task

•    Good team player, ability to work collaboratively with others and be flexible and step beyond this role as and when required to contribute to group efforts

•    Strong interpersonal skills with experience of building good networks

•    Strong organisational skills with good personal time management and ability to meet deadlines

•    Capable of ensuring others adhere to deadlines

•    Ability to adapt and respond in a rapidly changing environment 

Desirable:

•    Proficiency in Microsoft Office products including PowerPoint, Excel and Word
