General Assistant/Secretarial Support, China Securities
Direct Responsibilities
· Responsible for receiving visitors, answering all incoming calls, etc to ensure company efficiency and security.
· Control incoming/outgoing mails, newspaper/parcels and delivery with effective records.
· Control conference/meeting room booking for clients and colleagues.
· Responsible for name card/ general company document printing, staff access card (both building & company card with photo) issuance, office supply procurement & delivery.
· Support for the various needs in maintaining the office premises, furniture, non‐IT equipment.
· Provide support for inventory of non‐IT assets ensuring procedures in place when purchases are made and assets disposed of and undertaking regular inventory check.
· Handle business travel related administration for head of department, including but not limited to ticket/ hotel booking, liaising with the vendor, etc.
· Control the order, delivery and record of non-critical company/ department chop, and perform required annual internal check.
· Follow up on General Services related expenses billing and prepare the payment accordingly.
· Take relevant responsibilities and roles for General Services as specific functional department in charge of company security.
· Support to organize disaster prevention training as a Security Officer for General Services on a regular basis and train the staff how to implement disaster prevention methods correctly.
· In charge of internal General Services system update.
· Support as back up Video Officer to perform a daily wellness check, monthly archive check and arrange quarterly maintenance.
· Provide secretarial support to the Management Office.
· Perform other tasks as assigned by the supervisor.
· Permanent Control Aspects
- Direct contribution to BNPP operational permanent control framework.
- Contribute to the implementation of operational permanent control policies and procedures in day-to-day business activities, such as Control Plan
- Comply with regulatory requirements and internal guidelines
- Contribute to the reporting of all incidents according to the Incident Management System
- Ensure audit recommendations are resolved within the specific timeline.
Technical & Behavioral Competencies
· Good communication skills in both Chinese and English
· Previous work experience in office admin related functions preferred
· Experienced in managing internal stakeholders and external vendors/ suppliers, etc.
