What is this position about?
Reporting the Head of Global Markets in Australia the Team / Desk Assistant will act as the primary administrative support for the Global Markets and ALM Treasury teams, and provide ad hoc back up support to other senior leaders as required. This position requires good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
Primary Role Responsibilities
Administrative support to the Global Markets and ALM Treasury teams, including:
* Adhoc meeting coordination for the department heads.
* Travel and expense coordination for the team.
* Prepare meeting documentation including Powerpoint presentations and production of meeting minutes when required.
* Collaboration with transversal teams such as IT Help Desk, Corporate Services and Human Resources in relation to team IT hardware and software support / issues, and onboarding of new joiners.
* Coordination and collaboration with Assistants, both locally and regionally.
* Coordinate data gathering to IG missions and other audits.
* Maintain organisational charts for Global Markets and ALMT Treasury
* Update 'weekly whereabouts' report, weekly revenue report and remote working roster.
Coordination of client events, roadshows and visits:
* Produce / update visitor itineraries in coordination with visitor EA/Assistants.
* Organise pitchbook approval and production.
* Liaise with brand and communications, coverage etc.
* Book venues and catering where necessary.
Other contributions
* Back up support to Territory EA / Administration pool, including diary management support for other senior leaders as required.
