The role
The Client Onboarding Analyst (COA) is responsible for on-boarding new cases and performing periodic reviews in accordance with Anti-Money Laundering (AML) regulations or as set by internal policies and procedures. More specifically, the COA will undertake due diligence to understand the AML risks within the non-transactional and transactional client relationships to ensure that appropriate Know Your Client (KYC) requirements, fee agreements and other due diligence information are obtained and maintained in accordance with internal and regulatory standards.
Key deliverables
• Complete due diligence on new and existing accounts to ensure compliance with requirements of BNP Paribas groups AML / KYC policies. This will entail performing and recording the results of searches and sanction checks.
• Supporting all Lettings offices (Regional and London) with KYC.
- Regulated: responsible for completing all Regulated KYC transactions (both clients and counterparties).
- Unregulated: Support for offices if there are queries/knowledge gaps.
- Unregulated: Covering for lack of staff (vacant role or OOO).
• Supporting all London Sales offices with KYC.
- Regulated: responsible for completing all Regulated KYC transactions (both clients and counterparties).
• Proactively resolve ad-hoc queries related to all aspects of AML analysis.
• Where required establish and maintain trusted relationships with our clients to facilitate and accelerate the on-boarding processes.
• Provide guidance to the front office with regards to on-boarding policies and case initiation.
• Perform periodic reviews of cases and profiles as required by the on-boarding policies.
• Actively participate in developing, testing and implementing new or enhanced Customer Due Diligence (CDD) processes and other process improvement initiatives as required.
• Proactively resolve queries received from front office and the Compliance Team or the Central Client On-boarding Team (CCOT), highlighting and escalating issues in a timely manner.
• Establish and maintain effective relationships with front office staff, CCOT and the Compliance Team.
• Work with CCOT and the Compliance Team to provide training and guidance to staff on client on-boarding procedures where required.
• Client interaction when required/requested (majority are High Risk / Legal Entities / Wealth Structures).
• Train new/existing staff on Regulated and Unregulated KYC.
• Act as a ‘middle man’ between the Business and CCOT/Compliance.
• Identify & complete any FS Escalations on behalf of the offices.
• Communicate & implement any process/procedural changes to all staff.
• If and when required help the Lettings team with KYC remediation. *Head of Lettings Operations to advise on case-by-case basis.
• Constantly develop a culture of ease and efficiency to stream-line the “KYC experience” for the front office and our clients.
• Create guidance documentation.
• Perform the nominated RM duties for KYI/P for Residential Lettings and Sales.
• Report monthly to management regarding ‘Properties Launched without KYC’.
• Complete OPC Historical Incident reports, where required.
• Increase awareness with CCOT/Compliance with regards to business processes, local activity, market conditions and the way the business works at the front end.
• Ensuring across the board understanding so we can improve the approach to AML for sales and lettings.
• Maintain (and provide the user guidance for) the case trackers for Sales and Lettings.
• Promote data cleanliness throughout the offices (off the back of the reporting).
