Event & Communications Manager
The Event & Communications Manager:
* Manages end to end, all transversal external events for the Bank.
* Manages the Bank’s sponsorship process for large transversal sponsorships, particularly CSR sponsorships.
* Manages the administrative side of the Bank’s CSR Programme, working closely with the AU-NZ CSR Team, as well as the APAC CSR Team. Holds the treasurer position in the AU-NZ CSR committee and manages the CSR budget according to opportunities and constraints.
* Manages the Internal Communications and marketing in relation to assigned projects.
Primary Role Responsibilities
Events
* Design, manage and implement all transversal external events detailed in the bank’s wider marketing plan, ensuring the highest standards are maintained in terms of supplier selection and due diligence, choice of venue / facilities, theming, invitation production and timeliness, management of guest lists and RSVPs, arrangement of catering and logistics and management of event budgets.
* Ensure follow-up strategies of such events are implemented. This may include communications to guests, guest speakers and tracking feedback.
* Provide guidance and support to business lines organising events to ensure they adhere to company policy and branding guidelines - can include advice on venue selection, design of invitations etc.
* Lead the Sydney office End of Year Celebration, working with HR and Internal Communications to ensure it is delivered in an appropriate manner.
* Produce thorough run sheets and event briefings before each event to fully brief all internal stakeholders.
* Provide ad-hoc support to the Corporate Social Responsibility (CSR) Committee and Internal Communications to assist in the delivery of internal and external events as required.
* Liaise with Internal Communications team member to prepare Head of Territory speech notes relevant to events and work with the business lines regarding any content required.
* Challenge the format of existing external events to identify means of generating value for money, more attractive propositions and better business outcomes.
* Drive thought leadership client events, researching appropriate topics aligned with the wider marketing plan, that deliver strong hooks for generating client attendance.
* Maintain an up to date local and APAC Events Calendars.
* Keep abreast of the latest global, regional and local marketing materials for use at roadshows, exhibitions and conferences
* Manage the Event Budget within the B&C Master Budget and the B&C Suspense Account.
Sponsorship
* Work with the Head of Brand & Communications to identify, negotiate and implement large transversal corporate sponsorships, in particular CSR partnerships and events that are attached to these sponsorships.
* Provide advice to the business lines on commercial sponsorships they are undertaking to offer guidance on processes, ensuring that they follow all due diligence required and that all branding and advertising is in line with the BNP Paribas’ policies.
CSR
* Responsible for the accuracy and ongoing update of CSR plans, calendars, governance documents and events tracking so they can be communicated to all stakeholders in a timely manner.
* Manage the CSR Due Diligence Process, both full KYX and base line name checks, for philanthropic organisations we work with.
* Work closely with APAC CSR Co-ordinator and Paris to ensure timely and accurate reporting.
* Where possible, provide support in rolling out CSR activations: communications mainly and best practice or toolbox to other CSR Committee members.
* Hold the treasurer position in CSR Committee.
Other contributions
* Identify and proactively drive continuous improvement initiatives including process and best practice.
* Contribute to the BNPP Operational Permanent Control framework.
What is required for you to succeed?
* Minimum of five years of relevant experience in an events management role, including budget management, ideally with a focus on business-to-business marketing.
* Ability to work collaboratively and confidently with all levels of management in order to facilitate the event and sponsorship needs of the business.
* Ability to build strong networks across the Australia and New Zealand Territory as well as the APAC Region, and globally, to ensure they are connected to what is happening elsewhere in BNP Paribas.
* Confident communication skills, both written and verbal.
* Ability to work autonomously and prioritise across multiple activities.
* Attention to detail and outcome focused.
* Strong interpersonal skills and be a positive and energetic member of a collaborative Brand & Communications team.
