Team Administrator, Building Consultancy (Part Time, Maternity Cover) (Birmingham)

The Role

We are looking for an Administrator to join our dynamic team on a part time basis to provide administrative support to our Building Consultancy department. This is an exciting opportunity for someone to immerse themselves in a collaborative and supportive environment. 

The successful candidate will be enthusiastic, professional and well organised with excellent communication and interpersonal skills.

This will be a Fixed Term Contract for 1 year covering maternity leave. 3 days per week; 9am to 5.30pm (days flexible).

Responsibilities

•    Provide proactive administration support to include audio typing

•    Produce quality documents ensuring a high standard of accuracy and presentation is maintained. 

•    Make travel arrangements, making cost effective decisions.

•    Assist with the management of the Director’s calendar, scheduling meetings to allow for travel time and booking internal meeting rooms.

•    Deal with correspondence and compose written replies on behalf of the team.  Take follow-up action where appropriate, redirecting if necessary. 

•    Draft and type documentation including letters, schedules and reports of a complex nature. 

•    Operate a bring-forward system for the team and ensure ready access to all relevant papers and supporting documentation for meetings. 

•    Receive telephone calls on behalf of the team, respond to enquiries where possible or refer the enquiry if appropriate.

•    Produce professional services invoices on our CRM system, help with recovery of overdue invoices and data inputting for the processing of invoices for payment by the accounts team.

•    Complete KYC and on-boarding on behalf of the team.

•    Opening opportunities / projects on our CRM system.

•    Maintain and update filing system, sending files to archive.

•    Input expenses.

•    General administrative tasks such as post processes, photocopying, scanning and filing.

•    Research and book restaurants and send calendar invites to clients.

•    Make bookings for venues, refreshments and equipment. 

Person specification

Qualifications

•    Educated to A level standard or equivalent

Experience & skills required 

•    Previous experience within a busy, demanding environment

•    Excellent practical use of MS office suite of products Word, Excel and PowerPoint 

•    Excellent communication skills, both written and spoken

•    Experience in use of MS Word, PowerPoint and Excel

•    Literate and numerate, with an eye for detail and presentation

•    Enjoys working in a team environment

•    Organised and confident, having good interpersonal skills and an approachable demeanour

•    Able to prioritise workload, complete and meet tight deadlines

•    Self-motivated and have confidence in one’s own ability

•    Logical, systematic and have an organised approach

•    Conscientious and thorough

•    Ability to multi-task

•    Ability to provide friendly & professional first point of contact for internal and external clients by telephone, email or letter
