Job Title: Assistant Manager – Philippines Payroll & Benefits

Department: HR Shared Services

Business line/Function: Functions

Location: Mumbai

Position Purpose: 

Responsible for managing payroll and benefits operations, HR accounting, statutory compliances in accordance with internal guidelines & external regulatory framework.

Responsibilities

Payroll Operations

  • Compile Payroll Instruction Sheets (salary, allowances, deductions) and submit to Manila HR team for review/approval.
  • Upload employee payroll data into payroll vendor portal and forward the supporting excel files to the vendor for processing.
  • Review Payroll Registers shared by payroll vendor and flag discrepancies and obtain final approval.
  • Prepare Cover Sheets and attach to Finance’s Fund Requests for payroll funding.
  • Validate information in the internal payment portal (PDAP) once Finance encodes data; confirm document uploads are correct.
  • Notify approvers to release funds in PDAP and via HSBC transfer.
  • Request BIPO to remit government contributions (SSS, PHIC, HDMF, 1601‑C) and generate the 1601‑C filing. Review the output before sending to tax advisors.
  • Submit 1601‑C and payroll registers to tax advisors for filing; respond to their queries or validation requests.
  • Replicate the 1601‑C process for any other compensation‑related filings (e.g., bonuses, equity).
  • Update employee statutory contributions for HDMF, PHIC, SSS whenever changes occur (e.g., salary adjustments, new hires).
  • Assist the Tax Team with payment of Expanded Withholding Tax (EWT) and other applicable taxes.
  • Interact with Employees on all payroll Operations related queries and ensure quick resolution to enhance employee experience.
  • Monitor accuracy and quality provided by putting in place appropriate controls.

Internal Accounting and Audits:

  • Prepare and ensure accounting entries for Manila payroll are correctly posted in the system and perform accounting controls
  • Coordinate with Manila HR team and assist with internal and external audits and provide all the required information

Insurance & Other Employee Benefits:

  • Administer the Insurance benefits for employees 
  • Liaise with insurance service providers to ensure optimum employee experience.
  • Process all invoices and ensure accuracy in payments
  • Administer any other benefit which may be introduced for employees

Technical & Behavioral Competencies

  • Knowledge of payroll and accounting
  • Understanding of HR processes and procedures 
  • Knowledge on statutory taxation and related matters 
  • Strong and Advanced MS Excel knowledge
  • Solution Driven

Specific Qualifications:

Master’s degree or equivalent with at least 7+ years of experience in HR Payroll Process & Benefits for offshoring entities

Experience Level:

At least 7 years
