Job Title: Governance Officer – IT Payment Services

Department: ISPL ITG Payment services

About Business Line/Function: 

IT Payment Services department, the worldwide reference for payments in the BNP Paribas Group. We are working on the many applications used worldwide. 

Position Purpose: 

· The Process & Governance officer will contribute to the control of the IT Payment Services Department's steering system by providing a structuring, securing and coordinating role on IT Governance and procedure topics. It ensures the readability of applicable requirements, the consistency of the documentary framework, the traceability of decisions, and the availability of elements necessary for governance, control, and continuous improvement.

· Its value proposition for IT Payment Services is threefold: first, to strengthen the deployment of the IT Governance framework within the department; second, to professionalize the management of procedures and reference documentation; and finally, to provide the operating teams and management with high-value-added cross-functional support to objectify practices, secure evidence, and support decision-making.

Responsibilities:

Direct Responsibilities

· Maintain an orderly view of the documentary assets applicable to IT Payment Services

· Accompany the creation, updating, proofreading, publication, communication, review and archiving of procedures

· Check the formal quality of the documents, the consistency of the cartouches, scope, references, versioning and the documentary workflow.

· Prevent redundancies, inconsistencies and documentary blind spots that could weaken control over the system.

· Promote the sharing and dissemination of best practices in order to strengthen the adoption of the reference framework and the harmonization of practices within the department.

· Design and deploy communication, awareness, and educational actions through formats tailored to the needs of the IT Governance teams.

Contributing Responsibilities

· By coordinating and overseeing their drafting by the relevant process owners (the existing subject matter experts), ensure or have ensured the updating of existing procedures, ensure or have ensure that procedures are documented and maintained, in order to guarantee their compliance, readability and alignment with operational needs. 

· Draft or have new procedures drafted as appropriate, then oversee their validation and publication when the evolution of the system or requirements so require.

· Update existing templates and provide improved materials, with a view to harmonization, efficiency and document quality.

· Create, where necessary, new templates or reference materials to meet the emerging needs of the perimeter

Other Competencies

  • Ensure a smooth, structured and responsive execution of inspection and audit missions, while guaranteeing the coordination of the work and the appropriate mobilization of stakeholders.
  • Preserve IT PS teams from unnecessary direct exposure to auditors by organizing the relationship, documentary preparation, and coordination of contributions
  • Act as a "mission office", structuring requests, managing responses, consolidating the required documents and ensuring follow-up on missions and recommendations.
  • Organize feedback sessions, debriefings and follow-up actions to enhance the organization's learning, improvement and preparedness capabilities.
  • Define and implement the department's quality management system in accordance with the applicable quality framework requirements.
  • Structuring the necessary roles and responsibilities for the organization and management of the quality system, in order to ensure its consistency, effectiveness and sustainability
  • Define the objectives, indicators and dashboards necessary for quality and performance management, in a logic of measurement, analysis and decision.
  • Register the department in a continuous improvement approach, based on process control, monitoring of improvement actions and effective implementation of decisions taken
  • Contribute to the maintenance of the IT PS SharePoint in collaboration with the team responsible for communication activities within IT PS, to ensure its proper upkeep, consistency and accessibility.
  • Update the documentary spaces within the scope of IT Governance (including procedural aspects and document templates), in order to maintain reliable, readable and useful content for teams and management.

Specific Qualifications:

• Minimum 5-9 years of experience as a Governance officer along with Bachelor's Degree - in IT, Computer related field or equivalent experience.
