Senior Administrator - Static Data

Main Job Purpose:

The role sits within the Static Data Team. The primary responsibility is to work as part of the investor services team to ensure timely response to investor queries, maintaining the integrity of data and record keeping within our core systems (eFront FIA, Intralinks, AllShare). The role is fundamental to ensure all investor static data change requests are completed efficiently and accurately within business and client service level agreements. The role will involve amending static data in the system, liaising directly with the Client, Investors and their representatives, in addition to working directly with the Fund Administration team, and the KYC/CDD teams in Luxembourg, Jersey and other Operational teams within Securities Services as required. The role will also involve liaising with the members of the team based in Warsaw and assisting with the review of their work as directed by the Static Data Manager together with other projects related to static data as requested by the Static Data Manager. 

Key Responsibilities - Procedures and organisational principles

  • Act as a primary contact and subject matter expert for handling and processing all investor static data within the eFront accounting system
  • Develop relationship with team members in Warsaw and assist with the review of their static data amendment work
  • Assist with project work and take ownership of certain bespoke static data projects as directed by the Static Data manager
  • Responding to investor queries professionally
  • Ensuring all investor static data requests and enquiries are responded to on a timely basis and within the agreed Service Level Agreement. 
  • To assist with ensuring all investor static data is accurate in order to assist internal teams dealing with capital calls, distribution and drawdown process cycles and investor, tax and regulatory reporting requirements
  • Follow controls in place to mitigate risks
  • To assist the manager coordinating with CDD/KYC teams to ensure the relevant investor documents comply with KYC/CDD requirements
  • Follow the end-to-end processes and procedures in place for the set up and maintenance of investor static data in the core systems. Perform callbacks to authorised third parties to validate bank account change requests or new instructions with counterparties, liaising with Fund Administration and Payment Teams where necessary
  • Continually develop a strong understanding of the importance of data integrity and carry out all requests with a quality and control mind-set
  • Build relationships with key stakeholders such as Fund Administration teams, Operational Support team, Payments team, KYC/CDD Teams, Investors and Clients and Lux IT, in order to foster strong relationships to deliver quality client service 
  • Monitoring the dedicated static data mailboxes to ensure that all enquiries and change requests are promptly handled via Outlook and our in-house query management system Hobart, to assign, prioritize and efficiently resolve all change requests
  • Maintaining and managing the static data log to track all change requests and ensure all requests are followed through to resolution. The static data log, in addition to Hobart, will provide regular reporting (KPIs and MIs) and communication to senior managements 
  • Accurately record and complete relevant checklists for each type of static data request and evidence in relevant checklists
  • Assist with the update of checklists and procedures relating to Static Data
