Key Responsibilities

The candidate will support the Chief Administrative Officer of Securities Services HK and will be accountable for activities related to Organization & Governance, Financials and other business management matters within CAO Office scope. Responsibilities will include but not limited to outsourcing / insourcing & procurement activities, management of recharges & other expenses, Financials analysis, and other corporate governance & business management activities. The candidate will also provide business support in respect of transversal projects falling under the mandate of the CAO. 

In/Outsourcing & Service Level Agreements (“SLA”):

  • Acting as Outsourcing Coordinator at Securities Services (“2S”) HK
  • Deploying Outsourcing risk management governance framework
  • Facilitating Outsourcing projects and engaging with relevant stakeholders
  • Performing regular monitoring & reporting
  • Keeping records of all SLAs with intra-group entities and third parties (excluding Clients)
  • Ensuring that all SLAs are reviewed on a regular basis, are kept up to date & comply with group requirements

Recharges & Expenses Monitoring 

Implementing a proper control framework for expenses (direct and indirect), including:

  • monitoring of year to date expenses & intercompany recharges against budgets & other agreed amounts 
  • ensuring such payments are approved by the appropriate business partners
  • mapping of recharges back to respective SLAs 
  • liaison with Finance to ensure all recharges under each SLA are appropriately accrued (income and expenses)
  • Managing invoice payments & inter-company recharges

Monitoring of Procurement Activities and Vendor Contracts:

  • Ensuring all required documents for each procurement are received and properly recorded 
  • Ensuring a clear mapping of all vendor contracts and that such contracts and supporting documents are properly stored (in shared folders, ARIBA etc...)

Specific Qualifications and Attributes Required

  • At least 7 years of professional experience preferably in Securities Services
  • Strong analytical skills in the context of Operations is important
  • Strong project management, problem solving and organizational skills
  • Strong sense of ownership and ability to work independently
