About the Business Line / Function

Within CIB, Global Banking offers a full range of products and services to BNP Paribas’ Corporate and Institutional clients globally, including debt financing solutions, mergers and acquisitions, primary activity on the equity markets, cash management and trade finance. Global Banking is also entrusted with the Coverage of the Corporate clients with the mandate to provide them with the breadth and depth of the bank’s services, within and beyond CIB. Integrated and aligned with Global Banking EMEA and Americas, Global Banking APAC has presence in 12 territories across the APAC region and delivers global solutions to our clients, leveraging our global network and our product & sector expertise.

Position purpose

As part of its industrialization efforts, Global Banking APAC has launched a new initiative called Smart Office, aligning its operating model with practices from other regions and business lines. This initiative is reshaping how administrative assistants operate, introducing a hybrid support structure: a team based in BNP Paribas India Solutions Limited (ISPL) provides remote support to team member, while a group of personal assistants in our APAC territories continues to support ExCo members and Managing Directors (MDs) locally.

To support this new model, Global Banking APAC Office Manager will lead the team of personal onshore assistants, coordinate closely with the ISPL-based team, act as a point of contact and escalation with the teams for feedback or challenges and handle selected personal assistant tasks, as needed. Acting as the central point of coordination, the Office Manager will ensure that the assistant team delivers consistent, high-quality administrative and logistical support.

The role will be based in the COO department of Global Banking APAC, reporting directly to the Head of GBA Business Management & Development.

Key Responsibilities

  1. Office Manager (approx. 75% of your time)
    • Team Leadership & Oversight:
      • Lead and manage a team of Personal Assistants supporting MDs and ExCo members as well as broader Teams for selected tasks
      • Set clear objectives, conduct regular performance appraisals and provide constructive feedback
      • Conduct regular team meetings to foster collaboration, address issues, and drive process consistency and optimization.
      • Allocate workloads and reassign responsibilities during staff transitions (e.g. new joiners, leavers).
      • Coordinate planning to ensure continuity of service (e.g. back-up activation, etc.)
      • Coordination with ISPL smart office team in close alignment with head of team in ISPL to ensure seamless communication and workflow integration
      • Ensure consistent quality of service delivered by the Personal Assistants team
      • Operate independently, without direct supervision to anticipate problems and resolve issues.
      • Ensure smooth coordination with and efficient support to MDs, Exco members and teams 
      • Oversee special projects – such as board meetings, special events or offsite – ensuring logistical aspects are handled
    • Talent & Resource Management:
      • Manage recruitment, onboarding, and training of full-time and temporary administrative staff.
      • Manage leave planning and ensure adequate coverage at all times.
      • Contributes to the annual compensation review (in discussion with the MD/ExCo member they support)
      • Resolve performance or disciplinary issues in coordination with HR (if applicable)
    • Stakeholder Engagement:
      • Maintain daily interactions with senior stakeholders across Global Banking and CIB functions, collaborating regularly with HR, Compliance, and Risk teams.
    • Contribute to the continuous development and enhancement of the Smart Office model for Global Banking APAC, in alignment with the Global Banking industrialization initiatives.
      • Contribute to streamline administrative processes and supporting the deployment of new tools to digitalize the work of assistants and / or enhance productivity
      • Enhance collaboration with ISPL based team, with a view to enable more support from ISPL based teams and enhance workflow integration
      • Contribute to developing or enhancing procedures / modus operandi to support the work of personal assistants and ISPL based teams
  2. Personal assistant (approx. 25% of your time)
    • Individual contribution as personal assistant.


Competencies (Technical / Behavioural) 

  • Bachelor Degree
  • A minimum of 12 years of experience of working in Financial Institutions preferred
  • Experience in team management and/or coordination is preferred
  • Coordinate with internal and external parties proactively and independently
  • Excels at multi-tasking in a fast-paced environment
  • Excellent interpersonal and communication skills
  • Mature, flexible, dynamic manner and able to work under pressure.
  • Ability to handle sensitive information with utmost confidentiality

Specific Qualifications Required

  • Familiar with PowerPoint, Excel, Word, Shared drives, CONCUR and other tools to support administrative work and presentation.
