Job Title: Trade Finance Operations - Service Quality and Support

Department: : GTFO - Service Quality and Support

About Business line/Function: GTFO(Global Trade Finance Operations) is responsible for the Back Office Operations on Documentary Trade Finance, Import & Export, Collections etc., and Guarantees Operations. The team supports a wide range of Trade Finance services across APAC & EMEA regions.

Position Purpose: The platform supports countries across globe in APAC & EMEA with standard trade applications. The position is required to support GTFO Trade finance teams in daily issues involved around BAU, streamline processes, SLA, Improve Quality and manage Incidents, RCA and Remediation’s, support other Trade teams in GTFO including IT initiatives. Contribute to Projects related to growth/optimization and Monitoring of platform performance for outsourced provider and BNPP Operations.

Responsibilities

Direct Responsibilities

Monitor and Support GTFO Service delivery, Project Management

PERFORMANCE MONITORING, BAU Support & Quality, ANALYSIS AND REPORTING:

I. Run Stabilization and Optimization:

·       Ensure maintenance of Standard Operating Procedure (SOPs) section-wise (imports / Exports / product Transverse / Support SOPs) and inform the Head - Organization and Support

·       Propose enhancements and quick wins (process, organization or system) and supervise alignment on best practices

·       Follow up and challenge partner's continuous improvement initiatives (FMEA: Failure Model Error Analysis)

·       Optimization activities and monitor possible dependencies with transition activities.

·       Ensure Continuous improvements by leading  Optimization initiatives to improve platform monitoring, reduce inefficiencies, control risks,  standardize processes, automation proposals.

·       Analyse performance measures and report in a timely fashion with a focus and depth relevant to the client stakeholders:

-       Most of the indicators will be provided by the supplier (IBM Workflow Management)

-       Some data will be maintained and monitored directly by the Organization & Support team (e.g.: the users' access rights monitoring files, Error Log)

·       Liaise with BNPP Middle Offices for Performance Management issues, suggest process changes.

·       Contribute to service quality improvement

·       Chairing of SLA meetings with client sites: Enforce SLA commitments.

·       Jurisdiction Management, ISO Certification and Management

·       Intellimatch activities

·       BEACON and other reports.

 II. Transition activities:

1. Co-ordinate locally transition project office activities

2. Represent the Trade Finance COO in the Operation Center Set-up work stream for all aspects.

3. Facilitate complementary investigation onshore.

4. Support Partner's transition action plan, conclusions and implementation

5. Propose actions to secure ramp up phases and lead data migration and business rehearsal activities at GTFO level

6. Contribute to SOPs documentation prior to knowledge cascade

7. Transfer knowledge of Territories specificities internally with other team members

II. Claims Management:

1. Perform Root Cause analysis and coordinate for correction. Manage accounting entries corrections in the accounting tool.

2. Monitor the effectiveness of Action Plan

3. Related SOPs: Customer Claims Processing, Processing of an error identified at BO level, Regularization / Reconciliation

III. Performance Reporting: Responsible for coordinating/reporting on all BNPP MIS reports / Governance deck 

IV. Other Responsibilities

A.     Bring Direct contribution to BNPP operational permanent control framework

B.     Minimize operational failure, including but not exclusively the risk of fraud by helping to devise and by implementing sufficient regular controls

       C. Ensure appropriate escalation to management and/or permanent control (or compliance as appropriate) as soon as an issue is identified.

D. Comply with internal and external regulatory and compliance requirements

E. Comply with the BNPP standards of Code of Conduct

F. Comply with the BNPP IT Security policies

G. Anti‐Money Laundering / Financial Sanctions “AML/FS”) related duties: Operations are an integral part of the control framework including for AML/FS topics. In that respect, in performing your role you are expected to ensure adherence to AML/FS‐related Group Policies and execution of associated operational controls, and to promptly escalate any resulting hit for analysis and decision.

Contributing Responsibilities

·       To contribute to the IT and Transversal projects from time to time.

·       Specific Qualifications (if required)

·       Graduate/post Graduate from a recognised university.

·       Certification in Trade Finance. Additional qualifications in CDCS & other ICC certification is an added advantage.

·       IIBF certifications is an added advantage.

·       Linguistic capabilities like French language is a plus.

·       Behavioural Skills: Good Communication skills, Client centric Approach, presentable, maintain office decorum etc. abide by the BNPP code of behavior and principles, BNPP values.

Technical & Behavioral Competencies, Transversal skills

·       5+ years of  experience within Trade Finance /Back Office related Trade Operations

·       Strong communication skills with good level of written/Spoken English;

·       Good knowledge of MS office tools (Excel, Word, PPT)

·       Team management, Excellent interpersonal skills, Capacity to work in a multicultural environment and in a team; Ability to manage / facilitate a meeting.

·       Professionalism: resolution of problems, quality oriented, respect of the commitments;

·       Capacity to assist his/her colleagues, internal customers and his management.

·       Attention to detail/ Good analytical skills, Innovative thinking, Ability to Manage a project

·       Ability to understand, explain and Make a Change.
