Position Purpose

·To provide Safe & smooth working conditions in the office premises

·Ensuring continuity of business through effective coordination of maintenance activities.

·Deployment and implementation of Group/ Department Policies & Procedures

·Implementation of Controls in various activities under Facilities Management function

·Implementation of best industry practices and cost control / savings initiatives.

Responsibilities

Position Purpose

Roles and responsibilities:

a)Supervision & Control on Facilities Management Services

·       Supervision & Controlling of Facility Management Team. Shift resource planning & ensuring appropriate.

·       Attendance, Recruitment & training of Facility Management staff.

·       Liaise and coordinate with Vendors to ensure compliance related to attendance, Leave policies and relevant guidelines.

·       Maintain record of Housekeeping/ Pantry consumables.

b)        Maintenance & Upkeep of Office Premise and Equipment

·       Ensure upkeep of office premise through effective deployment & supervision of housekeeping staff

·       Deploy & verify various Checklists pertaining to upkeep of office premise.

·       Conduct periodic review meetings with the Facilities Service provider and track the action points.

·       Ensure 100% implementation of Green chemicals for HK

c)Vendor Management

·       Coordinate with Service Providers, Suppliers to ensure quality of Services.

·       Tracking and timely processing of vendor bills to ensure continuity of Services.

·       Provide necessary assistance to Procurement Team for procurement of Material or Service.

d)        Cafeteria Management

·       Coordinate and Support in Cafeteria Vendor selection process.

·       Formation of Cafeteria Committee and ensuring periodic meetings

·       Preparation & Circulation of Minutes of Meetings and tracking the action points.

·       Continuous follow-up and coordination with the Vendor to ensure quality of services.

·       Resolution of the complaints of employees.

e)        Controls & Compliance

·       Identify and implement appropriate Controls in various activities and functions.

·       Track expiry dates of all the Permissions/ License and ensure timely renewal.

·       Ensure Compliance to all applicable policies, procedures, and guidelines (either Statutory and/ or Company).

·       Ensure Maintaining Risk and compliance tracker and presenting on monthly basis

·       Ensure 100% on time completion of BGV and vigilance checks and publishing reports before onboarding

·       Ensure Monthly KPI and it supporting documents

·       Ensure Quarterly CLRA audit (Labour Consultant) and follow-ups

f)        Waste Management:

·       Ensure proper storage waste generated and disposal of the same on daily basis

·       Ensure proper storage of Carton box & General scrap generated and disposal of the same

g)       Gardening & Landscaping:

·       Ensure manpower deployed as per schedule and regular maintenance is done

·       Ensuring the watering, fertilization, pesticide application and replacements of Plants

h)      Event Management (in-house events under facilities):

·       Facility decoration on eve of key national festivals / holidays

·       Team building / team connect to bring in good coordination & team work in workplace

·       Organization of Team / Client Lunch from Star Hotels

·       Organization of High Tea for events

i)        Mail Room Management:

·       Ensure inward / outward courier are sent / received within stipulated time

·       Ensure Inward & Outward Courier tracking

j)        Printed Stationary & Office Stationary:

·       Ensure office stationary items ordered are delivered on time without any issue or deviation from Rate Contract

·       Ensure printed stationary items ordered are delivered on time without any issue or deviation from Rate Contract

k)       MIS, Invoice processing and Budgeting:

·       Ensure Cost sheets are closed immediately at the of the month

·       Ensure invoices to be received and processed before 7th of every month.

·       Ensure NDA’s are received at end of every month along with invoice.

·       Ensure Invoice Tracker to be maintained and reconciled monthly basis.

·       Ensure 100% completion of Budget Vs Actuals and sending report before 20th of every month. 

·       Ensure Monthly Dashboards are presented before 20th of every month.

·       Ensure AMC & Rate Contract trackers are updated on monthly basis
