Executive Assistant

Your role
 As the Executive Assistant to our BNP Paribas Netherlands Country Head & CEO, you’ll be part of the Executive Secretariat. 

Your role directly supports the smooth functioning of the CEO office by helping our CEO to manage his complex agenda and day-to-day, enabling him to focus on strategic priorities. You will be working in close partnership with his Chief of Staff in aligning on priorities and planning. Together, you will navigate the bank’s growth ambitions and further define the role BNP Paribas has as Europe’s largest bank in the Netherlands. 

You will make sure the CEO’s time is efficiently managed by closely collaborating with senior staff, stakeholders, and clients. You will representing him towards the bank as a whole, and towards clients and bank connections, becoming a trusted point of contact. 

As this is an important role, your presence in the office will be expected on days that the CEO is also present, which will be 3 to 4 days a week. 


Your responsibilities

  • Serve as the gatekeeper for internal and external stakeholders - Represent our CEO towards the rest of the bank and outside world in the best possible manner. Host visitors and engage with peers at client level. 
  • Calendar Management - Provide high-level administrative support, prioritize and schedule CEO's appointments, including internal and external meetings.  Manage multiple calendars simultaneously on a non-conflict basis being decisive and exercising sound business judgment. 
  • Partner with the CEO’s Chief of Staff 
  • Meeting Coordination - Schedule and track meetings including e.g. recurring committees and bilateral meetings, and arrange logistics (room booking, IT set-up, catering), to ensure smooth execution
  • Travel Arrangements - Organize domestic and international travel arrangements and itineraries; administer expense claims.  Prepares trip files and business trips related documentation in cooperation with his Chief of Staff.
  • Stakeholder Management - Manage agenda and logistics for both internal and external visitors, Coordinate with internal and external contacts on scheduling and follow-ups  
  • Event support - Assist the Chief of Staff and the Marketing & Communications team in the reparation and coordination of e.a. departmental meetings (ManCo, ExCo), Town Halls and internal/external events  
  • Modification and distribution of reports, invoices, and contracts - Ensuring approvals and signatures are secured in a timely manner
  • Completion of any reasonable projects or tasks, as requested by the CEO / Chief of Staff 
  • Work in close collaboration with the Executive Assistant Secretariat consisting of the Executives Assistants to the Head CIB EMEA Countries and Co-Heads BNP Paribas Netherlands Corporate Coverage. Act as each other's back up during holidays/absence.
