Job Title: Executive Assistant

Department: GROUP RISK

About Business line/Function: RISK

Position Purpose: 

The Executive Management Support is required to provide comprehensive administrative support to facilitate the efficient functioning of the RISK India HUB, ensuring seamless coordination, effective communication and optimal time management for the executive team. 

The management support will be based in ISPL Chennai and provides administrative support to ISPL CRO, Deputy CRO, team heads and team members of the RISK department in the ISPL & APAC region.

Responsibilities

Direct Responsibilities

Provide comprehensive administrative support to ISPL CRO, Deputy CRO, team heads and team members of the RISK department in the ISPL & APAC region., including:

managing calendars and meeting arrangements for ISPL CRO, Deputy CRO, team heads

consolidating meeting agenda for management committees 

booking of meeting rooms, equipment and facilities

organizing travel bookings including flights, taxi, hotel reservations and visa arrangements 

handling expense claims for senior managers and team heads 

assist with onboarding of new joiners and offboarding of leavers

maintaining shared drives and SharePoint, distribution lists and access lists

arranging IT and physical access requests

liaise with IT infrastructure teams

assisting on communications with internal and external parties

requisition of stationery and name cards

Assist overseas RISK colleagues in their meeting schedules, visa arrangements, access card, working room or desk arrangements, etc. during their visit.

Support Business Manager on Project/Business management activities on need basis.

Support in the planning and execution of departmental events, including meetings, training, seminars, work lunches and other group activities for the department.

Collaborate with other executive assistants and secretaries within Asia Pacific RISK and support jointly on departmental and regionwide administrative tasks as needed.

Work with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies.

Proficiency in executive support tasks, including meeting coordination, travel planning, and expense management.

Demonstrated integrity and strong work ethic, coupled with a positive attitude and the ability to work independently.

A proactive approach to tasks, with the confidence to see requests through to completion.

Attention to detail, with the flexibility to adapt to changing environments.

Self-motivated with excellent planning and organizational skills.

Professional attitude with effective communication abilities, proficient in both written and spoken English, to engage with diverse internal and external stakeholders.

Outstanding time management and multitasking capabilities, prioritizing tasks efficiently.

Proficient knowledge of MS Office suite, including Word, Excel, PowerPoint, Teams, and Outlook, with a willingness to learn new software as needed.

Technical & Behavioral Competencies

A minimum of 5-7 years of relevant experience, with a background in secretarial or executive management support

Familiarity with financial services industry 

Experienced in handling senior managers’ day to day requests, notably on calendar management, travel arrangements and event coordination 

Confident and comfortable with working with all levels of seniority in the bank

Ability to apply flexibility and adapt to changing priorities and requests 

Specific Qualifications:

Hands on experience in MS Suite

Good communication
