What is this position about?

Provide support to the Third Party Relationship Management Team (who manage the relationship with the main operational service providers for Custody and Transfer Agent oversight services in the UK and Ireland)

The successful candidate will be an experienced manager driving process improvements with a collaborative management style and ability to create a positive team environment.

Key Responsibilities

- Monitoring the transfer agency and custody team group inbox and completing associated admin tasks within agreed deadline

- Administering referrals received from UK fund's transfer agent, by required deadline

- Complete daily client money reconciliation input and review by 6pm UK time

- Calculation, processing and payment of non-complex rebates, in line with CASS regulation as required. Preparation of monthly CASS reporting and monthly renewal commission file.

- Complete quarterly sample testing of transfer agent and custodian processes

- Complete administration tasks to support administration of UK and Ireland fund ranges, for example: review of fund calendars, transfer of data to transfer agent system, completion of tax and market opening documentation, responding to client queries, administration of Data Subject Access Request (DSAR), monitoring of project queues, etc

- Support the Third Party Relationship Managers (TPRMs) with documentation reviews and investor mailings, reviewing data, running reports e.g. investor register reports, application form review and updates, review of debtor and creditor reports, review of box buffers

- Support the TPRMs with administration of regulatory requirements such as GDPR and Consumer Duty

- Reconciliation and administration of custody fees and maintenance of custody fee log

- Monitoring of direct debits received from investors and maintenance of log

- Review of fund calendars

- Weekly maintenance of return payment spreadsheet

- Preparation of market opening and tax documentation; to be reviewed by the TPRM

- Support of dormant account project (Gone Away & Deceased tracing)

- Additional tasks will be added as appropriate, depending on capacity and skill set of applicants.

Role Responsibilities

- Ability to manage high-volume group inboxes, maintain detailed logs, and handle diverse administrative tasks for fund ranges within strict deadlines.

- Proficiency in performing daily client money reconciliations, managing custody fees, and processing non-complex rebate payments.

- Working knowledge of regulatory compliance knowledge to ensure all activities meet legal and industry standards.

- Skill in running investor register reports, reviewing debtor/creditor data, and preparing monthly renewal commission files.

- Ability to conduct quarterly sample testing of third-party processes to ensure operational accuracy.

- Competence in preparing and reviewing technical documentation, including tax forms, market opening papers, and investor mailings.

  • Ability to effectively interface with and support Transfer Agents and Custody teams to ensure seamless service delivery.

- Developing team members and creating an environment that encourages innovation and supports personal growth for team members 

Expected Skills

- Experience in dealing with Outsourced Service Providers in the Asset Management environment is a plus.

Desired knowledge, skill, experience

· Degree qualified in Business, Finance, Accounting or related discipline is preferable.

· Having market related qualifications such as CPA, CFA qualifications
