About the Role:

As a Procurement Officer/Tactical buyer within our newly established P&P procurement Center of expertise you will act as a crucial operational partner for the procurement function, interfacing with both internal clients and external providers of the Regional Hub Germany.

Your primary responsibility is to independently process incoming requests within the Procure-to-Pay (P2P) process, based on existing framework or project agreements and "Preferred Supplier Panels". Your scope of responsibility covers the regions of Germany, Austria, the Nordics, and Central & Eastern Europe (CEE). You will manage requests and purchase orders, mainly for external assistants (such as consultants/SMEs, freelancers, and other external resources in IT and non-IT environments) and ensure that all intra-group, regulatory, and contractual requirements are met. A key component of your role is direct and professional communication with our suppliers and internal business units in both German and English language.

Key Responsibilities:

  • Operational Execution & Contract Management: Independently operate requests using the Group procurement application (PWise) considering framework or project agreements. Conduct negotiations regarding prices and conditions with suppliers, primarily in German language.
  • Quality Assurance of Purchase Orders & Project Contracts: Ensure that purchase orders and project contracts contain high-quality service and delivery descriptions, incorporating all regulatory-critical wording.
  • Compliance & Regulatory Support: Ensure that all regulatory and risk assessment checks are completed. This includes, among others, compliance with and execution of risk assessments regarding false-self-employment (“Scheinselbständigkeit”) or disguised employment (“verdeckte Arbeitnehmerüberlassung”). You will ensure all required contractual documentation is in place. This involves German-language coordination with suppliers to clarify and collect documentation regarding topics such as External Management Consulting Policy (EMC), DORA, outsourcing guidelines, data protection (GDPR), IT security, as well as legal reviews and system listings (e.g., “360Risk”, etc.).
  • System Usage & Data Maintenance: Manage the procurement process within internal systems (Procurement application "PWise", HR systems "OPAL") and ensure precise data maintenance in “OneTPRM” to guarantee accurate supplier risk assessments. This includes the creation of suppliers, contracts, purchase orders, external resources, and catalogs.
  • Tactical Sourcing: In cases where no suitable framework agreements are available, you will identify and qualify new suppliers in the respective markets (Germany, Austria, Nordics, CEE) in collaboration with the regional Category Managers.
  • Stakeholder Management: Act as the central point of contact for business units across various regions, supporting them with inquiries regarding purchase orders and compliance with regulatory processes.
  • Savings: understand the savings procedure, pursue them in your negotiations and declare them in due time in the tools

What we are looking for:

  • Experience: 3–5 years of experience in procurement, contractor management, or an operational procurement role with a focus on professional services. Ideally, you possess foundational knowledge regarding the legal risks and complexities of false-self-employment.
  • German & English Communication Skills:  Confident demeanor and negotiation-level communication skills with suppliers in German, as well as fluent English for regional coordination.
  • Working Environment: Proven experience conducting procurement activities within complex matrix structures.
  • System Knowledge: Practical experience with vendor onboarding, order processing, or ERP systems (e.g., PWise / IVALUA, SAP), as well as experience maintaining risk management tools (e.g. OneTPRM / ProcessUnity).
  • Negotiation Skills: Experience in price and contracts negotiations and the coordination of complex documentation processes.
  • Competencies: High organizational skills, rigor and excellent attention to details and the ability to efficiently manage a high volume of request and purchase orders across various countries and regions.

What we offer:

  • Private Medical Subscription
  • Life Insurance
  • Annual performance bonus and additional bonuses
  • 24 days of annual leave
  • Access to training and well-being platforms
