- The Delivery Office Trainee position is part of the Procurement and Performance (P&P) Lisbon – Invoice Processing Digitalization (IPD) department staffing, and is in charge mainly of
- Handle general IPD governance topics
- Ensure the centralization and maintenance of the P&P - IPD documentation
- Ensure project management methodology and related OPC controls
- PMO activities and roadmap
- The Delivery Office Team within P&P Portugal – IPD is in charge of monitoring the project portfolio and demand management of the department. The Delivery Office team is also responsible for the transversal guidelines and support for all IPD teams, on the level of organisation, governance and project portfolio
Your Main Activities Are
- As a Delivery Office Trainee, your key tasks are to
- Contribute to general IPD governance topics
- Support governance meetings preparation
- Administration and support to the Project Portfolio Management tool of the Bank (Clarity)
- Comply with Group Policies and norms concerning data quality and integrity
- Ensure the centralization and maintenance of all IPD documentation
- Manage and support the IPD documentation repository
- Ensure project deliverables are stored in a timely manner and kept up-to-date
- MS Sharepoint maintenance & access management
- Project Management Methodology
- Follow-up of the PM methodology and strive for standardizing and efficiency
- Ensure the correct use of the Project Portfolio Management tool for project management and time tracking by all IPD team members
- PMO support to projects mainly related to Invoice Processing, Expenses Claims and Accounting Processes
- Continuous Improvement
- Ensure efficient coordination with Permanent Control team
- Support and follow up the Operational Permanent Controls execution regarding Projects Implementation and Deployments
- Help the teams to achieve good results on the executed operational permanent controls
Profile and Skills to Success
- Bachelor degree in IT and/or Management
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Fluent in English
- Quick self-starter, dynamic and proactive attitude
- Organizational skills, rigor and good attention to detail
- Ability to multitask and adapt to changing priorities in a fast-paced and dynamic environment
- Ability to work under tight deadlines with flexible schedules and with international locations
- Strong verbal and written communication skills
- Ability to integrate a large and diverse multicultural environment and promote a strong team spirit
