Head of Payment Operations

For BNP Paribas Malaysia Berhad and BNP Paribas Labuan, perform and ensure the overall daily transaction processing operations of the department in line with the laid down procedures, policy (internal & external) and regulatory requirements of the bank under the guidance and control of his supervisor.

Provide back-office services to support the processing of Payment Operations products such as Remittances, Fixed Term Deposit, Loans etc for BNP Paribas Malaysia Berhad and BNP Paribas Labuan

Key Responsibilities

  • Provide back-office services to support the processing of Payment Operations products such as Cash Management, Remittances, Fixed Term Deposit, Loans etc for BNP Paribas Malaysia Berhad and BNP Paribas Labuan
  • Responsible for day-to-day smooth and efficient operations of the team including liaising and coordinating with ISPL / ARPC.
  • Responsible to monitor and authorize the outgoing and incoming eSPICK transactions and ensure the clearing items being process within the stipulated cut off time.
  • Responsible for disseminating relevant information and instructions received to the staff.
  • Liaise with PAYNET/ BNM for any issue relating to RENTAS, eSPICK and any other Domestic product transactions.
  • Coordinate and participate in any internal and BNM systems UAT / test.
  • Look into customers’ / correspondents’ complaints and take appropriate action that deemed required.
  • Resolve problems and implement solutions affecting the transaction processing system.
  • Undertake corrective action for any non-conformance identified during audits.
  • To ensure the dual control for security papers and relevant systems is in place at all times.
  • Identify staff training needs and ensure they are adequately trained for the jobs they perform.
  • Analyse trends relating to deficiencies and review the effectiveness of corrective measures.
  • Participate in procedures and operations reviews.
  • Perform daily second level of control
  • Verify and approve transactions within authority level.  
  • Support and perform back up function in Trade Services and FITBO whenever required.
  • Responsible to validate data of the ITIS reporting to BNM for payment transactions.
  • To perform any other assigned tasks that requires within the department as per Management instruction.
  • Make sure FEA rules are enforced for the processing of the transactions. Strong and robust level of control to be strictly followed.
  • Monitor the review and treatment of hit related to SWIFT and Non SWIFT screening (SSW & Fircosoft)
  • Implement regular cross training in the team to make sure each staff can manage all the positions in the team. This will help to reduce our risk of dependency on individuals.
  • Make sure ORUS is completed on daily basis
  • Perform monthly proofing of GL (BEACON) for Berhad, IBW and Labuan.
  • Support and participate in local and regional projects
  • Support Head of Operations in ad-hoc tasks

Customer services

  • Liaise with RMs, ICM, Compliance,  Finance & Control and colleagues of other support units to provide high quality of service to customers.
  • Handle inquiries from both internal and external customers.
  • Following up with local counterparts whenever required
  • Conducting verbal affirmation via phone, if required.

Permanent Control Aspects

  • Direct contribution to BNPP operational permanent control framework.
  • Contribute to the implementation of operational permanent control policies and procedures in day-to-day business activities, such as Control Plan
  • Comply with regulatory requirements and internal guidelines
  • Contribute to the reporting of all incidents according to the Incident Management System

“Anti-Money Laundering / Financial Sanctions (“AML/FS”) related duties

Operations are an integral part of the control framework including for AML/FS topics. In that respect, in performing your role you are expected to ensure adherence to AML/FS-related Group Policies and execution of associated operational controls, and to promptly escalate any resulting hit for analysis and decision.”

Maintain oversight on all outsourcing arrangements 

  • Compliance with Group and Regulatory policies
  • Ensure that the set of KPIs is provided and updated on the Bank's dashboard (for Group and external providers)
  • Assess the performance (including incidents) of the services provided by intra-group and external parties
  • Ensure controls and KPI on the outsourced services
  • Ensure BCP test reports are assessed by Ops for completeness and effectiveness

Management tasks

  • Recruitment of staff
  • Appraiser for staffs' performance at the year end
  • Prepare job description for staffs to meet challenging environment and arrange staff movement to ensure smooth operations.
  • Granting and periodic review of access rights of staff
  • Arrange trainings for staffs to increase knowledge in banking operation and regulatory issues
  • Allocate the resources and skills required to match the expected service performances.
  • Ensure proper staff cross training to provide back-up.
  • Ensure tight monitoring of quality assurance and BAU budget/costs.
  • Plan team members’ block leaves to ensure continuity of BAU
  • Ensure continuous alignment with Head of Operations, COO and Regional Clusters by proactively giving transparency and enabling guidance sharing.
  • Improve the team mindset contributing to overall positive health, “one-team” mindset and wellbeing of the team members.

Projects & Transformation

  • Participate in project related meetings with business, regional and offshore processing teams.
  • Define, with Regional Management, the operational target and the roadmap for Payment Ops in Malaysia, including organizational and process enhancement initiatives as well as IT migrations
  • Ensure successful roll out of projects, with strong support from framing to Go-live and aftercare: Outsourcing projects, IT migrations, Process reengineering
  • Ensure efficient and timely adaptation of our processes and controls to new Regulatory rules and requirements
  • Enhance the regulatory reporting setup with improvement on the documentation and controls, and with automation.
  • Keep on leading Continuous improvement actions for more efficiency and quality.

Essential Technical Knowledge/Skills :

  • Accurate, detailed, comfortable with numbers
  • Able to handle large volumes of transactions, work well  under pressure
  • Strong management skills

Specific Qualifications Required

  • Good knowledge Payment Operations Products i/e Remittances, Cash Management, Fixed Term Deposit, Loans
  • Strong knowledge with Cash Management and other local products like Rentas, IBG, Direct Debit, FPX, RPP
  • Good communication skills
  • Ability to handle projects
