The department and role

This is an opportunity for the individual to take immediate responsibility for the management of their own properties and projects and to assist with the account management of a key client of the business. This is a first-rate prospect for a confident, enthusiastic individual. In addition, with the prospects of an expanding client base, the individual will be tasked with achieving objectives set out in the department’s business plans and beyond.
 
There is a supporting team of facilities managers, building managers and our 24hr Helpdesk. The role will require liaison with the full complement of property management staff across the business including employees of BNP Paribas Real Estate Facilities Management as well as staff across other business lines such agency, lease advisory, building consultancy and investment agency.

Key deliverables

  • Providing high quality Property Management services to your client and Director
  • Preparing revenue budgets and quarterly forecast reporting with the support of a qualified accountant and finance department assistance
  • Liaising with the clients, their solicitors and tenants on daily basis
  • Advising the client in respect of tenancy applications and controlling the licence process
  • Instructing and liaising with facilities managers and building consultants in respect of repairs and planned maintenance programmes  
  • Carrying out regular routine property inspections
  • Arranging and facilitating regular tenant meetings
  • Liaising with Facilities Managers  to in respect of service charge budgeting and reporting and undertaking regular service charge expenditure monitoring and reporting
  • Management of Lease / Tenancy Schedules
  • Liaising with the client accounting team on production of annual service charge budgets, approving reconciliations, rent raising reports etc.
  • Management of income arrears and recovery (supported by a dedicated credit controller), invoice approvals, setting up new properties, maintaining the property database, updating the Helpdesk and Tramps, etc
  • Identifying and undertaking asset management initiatives under supervision
  • Due diligence for acquisition and disposals
  • Attending and chairing regular client and tenant meetings.
  • Preparing reports for client meetings
  • Attendance at team and department meetings

  • Manages and maintains existing clients relationships at a senior level on a day-to-day basis
  • Can identify new business opportunities outside own discipline and pass on
  • Works independently on most assignments and receives guidance only on unusual issues
  • Has broad knowledge of principles and practices of related disciplines
  • Enhances BNP Paribas Real Estate’s reputation through successful delivery

People

  • Supervises and co-ordinates teams on assignments
  • Shares knowledge with / provides information to colleagues and team
  • Mentors other junior colleagues

Systems and Process

  • Person specific. Evaluates, adapts and improves standards, techniques and procedures
  • Is a contributor to BNP Paribas Real Estate projects

Person specification

Essential qualifications & experience
  • RICS Qualified
  • Proven experience within a commercial property management department
  • Proven experience of direct reporting to property management clients
  • Good working knowledge of Microsoft Excel, Word, and Outlook
  • Managing lease events, rent reviews and expiries
  • Making recommendations on tenant applications
  • Asset Management skills. Solid Landlord and Tenant knowledge.
  • Property Management Accounting knowledge – statements of account, service charges etc.

Desirable qualifications

  • Previous use of Tramps or Horizon Property Accounting packages
