Team Secretary - Harrogate

 The role

 

We are currently seeking a Team Secretary to provide professional and efficient secretarial and administrative support to our team in Harrogate.

      

Key deliverables

  • Fielding telephone calls, assisting the caller when possible or taking and passing on messages
  • Dealing promptly with incoming emails and post and responding where appropriate

  • Diary management for team members including the arranging of internal and external meetings and team meetings

  • Organisation and co-ordination of travel itineraries and accommodation

  • Liaise with clients, suppliers and other staff

  • Handling expenses

  • Assisting with the admin of management clients (raising rent demands, chasing for payments, transferring funds to the clients)

  • Maintaining office systems, including database management, filing etc.

  • Ensuring files and records are opened and maintained for client projects

  • Production of briefing papers, minutes, reports and presentations for client meetings including audio typing from dictation

  • Assisting with anti-money laundering checks, on boarding of client and drafting of terms of business

  • Keeping up to date with the company’s wider processes and keeping the team up to date

  • Assistance with the organisation of and attendance at events.

  • Ad hoc projects at certain times of the year when required

 

Person Specification

 

Essential Experience

 

  • Microsoft Office 2010 – Word (Intermediate), Excel (Basic), PowerPoint (Basic), Outlook (Advanced) 
  • Experience in a similar role
  • Awareness of Document Management Systems, CRM Databases and Microsoft OneNote or willingness to learn operational skills for these systems.

  • Ability to work on own initiative with a proactive attitude – self-motivated
  • Excellent communication skills both over the telephone and in person.
