The Role

This role is to provide secretarial support to a Senior Associate Director and the Land Management Team in the Canterbury office of Strutt and Parker. 

Roles and Responsibilities

  • Provide proactive secretarial and administrative support to include audio typing
  • Organise and service meetings including providing agendas, producing minutes and ensuring effective follow up action
  • Produce quality documents and valuation/Trustee reports ensuring a high standard of accuracy and presentation is maintained
  • Make travel arrangements, making cost effective decisions
  • Deal with correspondence and compose written replies on behalf of the team.  Take follow-up action where appropriate, redirecting if necessary
  • Draft and type documentation including e-mail correspondence, schedules and reports of a complex nature
  • Operate a bring-forward system for the team and ensure ready access to all relevant papers and supporting documentation for meetings
  • Make bookings for venues, refreshments and equipment
  • Receive telephone calls on behalf of the team, respond to enquiries where possible or refer the enquiry if appropriate
  • Produce professional services invoices, help with recovery of overdue invoices and data inputting for the processing of invoices for payment by the accounts team
  • Maintenance of and data inputting to software systems
  • Assist with the management of letting enquiries and production of letting particulars
  • Diary management
  • Maintain and update filing system

Essential Experience

  • Previous secretarial experience within a busy, demanding environment
  • Excellent practical use of MS office suite of products Word, Excel and PowerPoint

Key skills/competencies

  • Excellent communication skills, both written and spoken
  • Touch-typing to 60wpm
  • Experience in use of MS Word, PowerPoint and Excel
  • Attention to detail
  • Organised and confident, having good interpersonal skills and an approachable demeanour
  • To be able to prioritise workload, complete and meet tight deadlines
  • To be self-motivated and have confidence in one’s own ability
  • To be logical, systematic and have an organised approach
  • To be conscientious and thorough
  • Ability to provide a friendly & professional first point of contact for internal & external clients by telephone, email or letter
