Team Assistant
This position will be based in Zurich on a permanent contract basis.

Assistant for Corporate Banking and Global Banking departments in Switzerland as well as Executive Assistant to the Head of Global Banking who is a member of our Executive Committee:

  • to provide secretarial support, including handling incoming/outgoing calls, managing calendars, draft letter correspondences and preparing presentations.
  • to arrange for travel booking, prepare expense claims in accordance with Company Policy, ensure that expenses are pro-actively managed
  • to organize meetings with the Regional team, countries, and any other third parties

Your work day

Assistant for Corporate Banking and Global Banking departments in Switzerland:

  • to provide secretarial support, including handling incoming/outgoing calls, managing calendars, draft letter correspondences and preparing presentations for the Heads of Global Banking departments (Corporate Coverage, Advisory, Equity Capital Market).
  • to assist with setting up client meetings
  • to support company events (eg closing dinners with clients), if required
  • to arrange for travel bookings, prepare expense claims in accordance with Company Policy and prepare project expense summaries mainly on projects managed by the Advisory team
  • Others
    • to provide general administrative support to the team, including monitoring office supplies, equipment maintenance & etc.
    • to create and maintain a proper document filing and archiving system
    • to organize when requested Executive Committee or Board meetings, circulate and compile the agenda and materials, to book the meeting rooms and order refreshments/food as required.
    • to assist in organizing Senior Management visits from Head Office
    • to support the company events, if required
    • to assist in ad-hoc projects/tasks as assigned

Your profile

  • Fluency in German, English and French, Swiss German is a plus
  • 10 years +  Assistant experience within financial services. Exposure to a heavily matrixed style of company would be highly advantageous.
  • Recent and demonstrable experience of supporting Executive Committee Members 
  • Good knowledge of Microsoft office package (Word, Excel, PowerPoint and Outlook)
  • Positive attitude, with a willingness to provide the highest level of internal and external client service as well as discretion and personal sensitivity in all aspects of the role
  • Demonstrate a willingness to own/solve problems as they arise, but also have the ability to identify issues for referral
  • Ability to work efficiently, multi-task and meet tight deadlines.
