Position Summary:

The Executive Assistant provides support to the NL Country Head/CEO and the COO for general office management, giving adequate consideration to BNP Paribas goals, policy, procedures and operations. The Executive Assistant acts as a buffer for abovementioned  senior management , representing them towards the bank as a whole and towards clients and bank connections, guarding their quality image. He/She manages their daily office needs and organizes their calendar and time use for maximum efficiency

  • Represents Country Head and Senior Managers towards the rest of the bank and the outside world in a professional manner. Hosts visitors and engages with high level peers at clients.
  • Responsible for assuring an efficient day-to-day work organization / performance of several Senior Managers. Organize meetings including a program of recurring bilaterals and committee meetings.  Process attendance records and administer expense claims.
  • Manages multiple calendars simultaneously on a non-conflict basis being decisive and exercising sound business judgment. Arranges schedules, appointments, travel itineraries well in advance. Instructs Office Management for travel arrangements and verifies arrangements booked. Prepares trip files and keeps business trips related documentation.
  • Answers and places telephone calls for the Management following BNP Paribas telephone excellence standards. Screens calls and visitors seeking appointments with the Management for legitimacy and relevance. Takes accurate messages, records, retrieves and relays accurate information. Reroutes information to appropriate staff. Responds to requests, internal as well as external, gives information to callers.
  • Ensures confidential treatment of all sensitive matters, documents and records handled by and/or   kept in the Management Office, following established security procedures.
  • Liaises and cross-references with Communications department so as to ensure that internal and external events are diarized well in advance and preparation by Country head happens timely.
  • Makes periodical management reports and presentations independently (PowerPoint) for use by senior management.
  • Acts as back-up of the other assistants and Office Management in case of shortage of staff and for a limited period.

The perfect candidate:

  • Completed a secretarial education (Schoevers, or similar)
  • Has 8+ years of experience as assistant to multiple senior managers in an international business environment.

Key Technical Skills / knowledge & general competencies that will help you in this role:

  • Be accurate
  • Have the highest level of integrity and very discrete
  • Speak languages: fluent in both Dutch and English and French would be a really nice plus
  • Be service-oriented: enable those around you
  • Have high energy levels and use it to self-start
  • Have problem solving skills
  • Good working knowledge of MS Word, MS Powerpoint, MS Excel and MS Outlook
