Description of the assignment

Executive Assistant to the Head of Corporate and Institutional Banking Switzerland :
• to provide secretarial support, including handling incoming/outgoing calls, managing calendars, draft letter correspondences and preparing presentations.
• to arrange for travel booking, prepare expense claims in accordance with Company Policy, ensure that expenses are pro-actively managed
• to organize meetings with the Regional team, countries, and any other third parties

Main activities


Executive Assistant to the Head of Corporate and Institutional Banking Switzerland :
• to provide secretarial support, including handling incoming/outgoing calls, managing calendars, draft letter correspondences and preparing presentations.
• to arrange for travel booking, prepare expense claims in accordance with Company Policy
• to organize meetings with the Regional team, countries, and any other third parties
 Others
• to provide general administrative support to the team, including monitoring office supplies, equipment maintenance & etc.
• to create and maintain a proper document filing and archiving system
• to organize the Management Committee meetings, circulate and compiled of the agenda and materials, to book the meeting rooms and order refreshments/food as required.
• to assist in organizing Senior Management visits from Head Office
• to support the company events, if required
• to assist in ad-hoc projects/tasks as assigned
 Specific Qualifications Required
• Fluency in German, English and French
• 10 years + Executive Assistant experience within financial services. Exposure to a heavily matrixed style of company would be highly advantageous.
• Recent and demonstrable experience of supporting a senior executive at board level with at least 5 years working at C Suite level
• Good knowledge of Microsoft office package (Word, Excel, PowerPoint and Outlook)
• 'Positive attitude, with a willingness to provide the highest level of internal and external client service as well as discretion and personal sensitivity in all aspects of the role
• Demonstrate a willingness to own/solve problems as they arise, but also have the ability to identify issues for referral
• Ability to work efficiently, multi-task and meet tight deadlines. Extensive diary management with prioritisation of conflicting meetings and last minute changes. This will be at least 75% of the role so the ability to multi task and juggle multiple requests is essential.
