Client Service Officer (Mandates & Dedicated Funds)

ROLE DESCRIPTION AND PURPOSE

Client Service Mandates & Dedicated funds team is part of the Global Client Service which is a key component of the Global Client Group at BNP Paribas Asset Management.

As a Center of Expertise specializing in the governance of Mandates and Dedicated funds, the principal role of the team is to:

 Provide and ensure best of class services in the global take-on, modification and exit processes for both mandates and dedicated funds,

 Ensure timely and flawless execution of these processes in partnership with all stakeholders involved.

In the context of ensuring the governance of activities relating to mandates and dedicated funds, the team covers in addition the following activities

•Management and overview of the passive book of the club deals managed by the PDRA (Private Debt and Real Assets) team

•Billing control of mandate and dedicated funds within the team’s scope


 

Onboarding

o End-to-end management of the onboarding process encompassing launch, modification and termination of mandates and dedicated funds

o Act as Project Manager, provide action plan and coordinate with all stakeholders effectively with a clear and agreed timeline.

o Sponsorship and organization of kick-off, follow-up and Product Validation Committees.

o Coordinate account set-up in close cooperation with applicable internal stakeholders.

o Take ownership of complex operational client queries and ensure that these are adequately answered within agreed timeframes.

o Take ownership of the coordination on the validation of Operating Memorandum with Operational teams and legal teams

o Be responsive in dealing with issues as they arise, and work proactively with relevant stakeholders to improve the overall quality of service provided.

o Ensure minutes of key meetings on the project monitoring are written and identified actions are followed through.

o Contribute to projects impacting mandate onboarding, acting as central point of expertise and coordination

o Provide back-up to colleagues on leave / absence.

Product LifeCycle Management Tool

o Adhere to the central product governance, including the GPC and PCC, and make sure the product related process and procedures are respected.

o Assign actions in the PLC/PLM tool to relevant stakeholders and ensure follow-up until completion

   

PDRA Passive Book

o Participate when required in capital call management for club deal funds, including the calculation, requests and follow up of funds due.

o Contribute to the management of PDRA passive books, including notably the capital calls, amortizations, dividend distributions, equalizations, etc.

 

Billing

o Invoicing control and approval prior to external distribution by Finance/Accounting team.

 

Projects and KPIs

o Ensure all the relevant client portfolio information is captured and maintained in SmartGPS

o Maintain a comprehensive understanding of the operational capacities of BNP Paribas Asset Management

o Contribute to projects with a direct impact on client portfolio implementation

o Provide support and advice to CRMs on subjects linked to client portfolio implementation

o Maintain relevant activity indicators in PLC/PLM tool

o Share ideas on process improvement and Issue Log for operational improvement and escalation

 

Operational risk management

o Demonstrate awareness of operational risk at all times and ensure that relevant procedures are adhered to.

o Obtain internal approval on unusual operational set-ups

o Involve Front to Back Process team in case of unusual operational structures

 

Risk and Compliance

o Adhere at all times to applicable laws, rules and regulations and internal procedures (Code of Ethics, management of conflicts of interest, Client Confidentiality, …

o Remain well aware of evolutions in applicable regulations and incorporate these in the onboarding process when required

ESSENTIAL QUALIFICATIONS & EXPERIENCE

Technical and industry experience

o Good organisational skills and multitasker

 

o Good general knowledge of the Group, the Firm and its various areas of expertise

 

o Good knowledge of back and middle office operations

 

o Broad knowledge of financial markets and the Asset Management Industry

 

o Project management skills

 

o University educated with a degree in Business, Finance, or related subject

 

o Excellent English language skills (written & spoken)

Systems skills

o Salesforce (or other CRM tool), SmartGPS, and other internally used tools as appropriate

 

o Command of regular MS Office desktop tools
