Position Purpose

To provide Procurement and RFP Support

Responsibilities

 Procurement Support:

  • Review purchase requisitions & orders
  • Identify and resolve PR - PO processing issues
  • Work with buyers / client group and suppliers to resolve delivery issues
  • Invoice Processing
  • Research and resolve invoice discrepancies
  • Maintain the Vendor Master Records/Updates/New Vendor Setup
  • Generate monthly reports and distribute the same to the internal stakeholders
  • Attend stakeholder meetings, record minutes & follow-up action items to ensure closure of pending action items
  • Create, update and maintain a repository of documentations to standardize process and procedures
  • Work on critical aspects of deliverables with a hands-on approach, including communication/follow-up with key stakeholders to ensure timely deliverables

RFP Support:

  • Support onsite procurement team in low to medium complexity sourcing projects
  • Act as a PMO in facilitating & coordinating activities related to projects between business & onsite procurement team
  • Develop and manage the execution of sourcing initiatives, including
  • Data gathering and analysis
    • Assist in supplier qualification
    • Preparation of Requests for Information (RFIs), Requests for Proposal (RFPs), Request for Quotation (RFQs), Invitation to Bid (ITBs)
  • Utilize analytical expertise to perform spend & contract analysis to determine baseline numbers / benchmarks for vendor evaluations
  • Engage broadly across lines of business to gather & consolidate requirements, which will further assist procurement team to use consolidated volumes as a lever during negotiations with vendors
  • Facilitate vendor selection process through RF(x) executions; Consolidate vendor responses and provide preliminary analysis to the Procurement team
  • Provide necessary insights on the RF(x) event & the outcome of the analysis to facilitate decision making on vendor selection
  • MIS Reporting & communication to internal & external stakeholders
  • Performance tracking of suppliers in order to ensure continual improvement in sourcing
  • Facilitate vendor review meetings to provide everyone a forum to voice out their concerns on the agreed setup
  • Work in conjunction with legal & internal teams on contract executions post the sourcing event; Upon completion of the contract, submit necessary paperwork and communicate accordingly with all the parties involved
  • Ensure end-to-end vendor on boarding process prior to execution of transactions with them; Facilitate seamless contract execution process with the necessary Third party reviews in place for the vendors

7 - 8 years’ experience working in Sourcing & Procurement domain, preferred experience in project management, contract executions, implementing procedures & process improvements, performance metrics and reporting

    • Experience working successfully in a multicultural environment

Specific Qualifications (if required)

The desired candidate should have at least 6 - 8 years of experience in procurement domain
