Business Overview:

The ITO Tax Operations Group is responsible for establishing operational procedures and controls to comply with IRS regulations regarding US information reporting (i.e. 1099 and 1042S reporting). Tax Operations is responsible for maintaining tax documentation (i.e. W-8's and W-9's), withholding and remitting taxes to the IRS, and generating 1099 and 1042s reporting to clients and the IRS. The group collaborates with US Corporate Tax to assess the impact of new tax legislation and requirements, and engages with cross-functional resources to develop plans to respond and/or comply with new regulations. To the extent a new business process is required, Tax Operations develops business requirements and ensures local IT and operational procedures are enhanced to support new regulations. In addition, Tax Operations supports cost basis, transfer reporting and corporate action events by managing client data in the GENEVA portfolio accounting system.

Functions of the Tax Operations Documentation and Control team includes transversal business lines 

  • Perform level 2 controls (i.e. review of performance of controls tied to weekly IRS tax remittance)
  • Perform oversight of level 1 control documented via ORUS, and supervision of daily controls and regulatory reports
  • Support the department with collecting facts and contributing to correspondence between BNP Paribas and the IRS Large Corp representative assigned to the bank with respect to IRS Penalty Notices and maintenance of IRS deposit transcripts
  • Perform IRS 945 and 1042 transcript research
  • Implement and perform controls around the monitoring of IRS receivables and payables
  • Contribute to the production of monthly outstanding IRS payable and receivable balances across all open tax ledgers accounts
  • Coordination with client onboarding and due diligence groups to ensure proper account tax documentation solicitation and tracking
  • Arching and reviewing IRS Fire System filings for all original and amended submissions
  • Reconciliation of year‐end tax liabilities versus weekly IRS deposits
  • Assistance with regulatory projects and development of controls necessary to implement new tax rules, and regulations, and to ensure compliance within those rules
  • Identification and participation in process design to achieve better controls, compliance and efficiency
  • Support of audits with IRS and Internal Audit (IA), and any other special audits 
  • Support of tax form collection during client onboarding/recertification applicable
  • Review, validation, re-certification and processing of forms W-8 and W-9 and related documentation according to IRS Chapter 3, chapter 61, and FATCA regulations      
  • Review and maintenance of written Tax Operations policies and procedures, gap analysis, and response to inquiries from operational areas and central teams
  • Supervision of Global Custody activity, foreign tax reclaim submissions, including tracking aged items, assisting with periodic outreaches to foreign tax authorities, and providing training to Tax Operations colleagues

Minimum Required Qualifications

  • 2-5 years tax information reporting, withholding and tax document management experience  
  • Strong knowledge and comprehension of Internal Revenue Codes Chapter 3, Chapter 4, and Chapter 61
  • Understanding and expert knowledge of IRS Forms W-9 and W-8 and their associated requirements; Forms 1099 series, 1042-S; Forms 945 and 1042
  • Bachelor’s degree in Accounting, Finance, Business or similar. 
  • Experience and familiarity with global markets
  • Highly ethical and control oriented

  • Excellent knowledge and understanding of tax accounting rules and regulations
  • High Proficiency in standard Microsoft applications including Excel

Preferred Qualifications;  

  • Strong knowledge of Income Sourcing rules
  • Knowledge of Broadridge systems/products such as BPS, TMS (Tax Managed Services) and TDS (Tax Data Solutions), or similar settlement and reporting systems
  • Experience validating client tax docs (Forms W-8 series, Forms W-9) using MD3, and updating back office static data and referential data systems
  • Experience in the development and deployment of reporting systems / tools
  • Understanding of system requirements and capabilities to ensure appropriate controls and processes
  • Proven track record of contributing to team oriented tasks and strategies, with the ability to identify client driven enhancements
  • Control orientated mindset
  • Advanced Microsoft Excel experience and skills
  • Ability to perform multiple tasks and meet established deadlines in a fast pace work environment with minimal supervision.
