About Business line / Function :

ISPL Compliance Hub is focused to protect the reputation of the Group and effectively manage risk across all business areas by providing support to various Compliance functions. At present, the department is broadly organized into divisions, which embed into the areas they support to provide services for Global Compliance Training, Capital Markets Surveillance, Electronic Communication Surveillance, Compliance Migrations Co-Ordination, Personal Account Dealing, MIS and Projects support. The team works closely with business partners in CIB and the wider group.

Position Purpose

OPC, SLA Management and BCM is part of the compliance unit of CIB. The goal is to implement the operational risk management framework and monitor the operational risk related to ISPL Compliance Hub activities, assist in SLA management services, BCM activities and other transversal activities of the department.


Direct Responsibilities

Operations Permanent Control (OPC):

Governance :

  • Ensure Steering Committee / Governance Meetings are diarized, meeting pack prepared and facilitated. Minutes of meetings circulated
  • Ensure relevant documents for all ISPL Compliance Hub processes and departmental documents are created, maintained and updated on regular basis e.g. Business Continuity Plans (BCP/BIA), Standard Operating Procedures (SOP), Service Level Agreements (SLA/SOS), RACI, OPC controls list etc.
  • Ensure OPC (transversal controls) conducted in a timely manner and presented in governance meetings as well as managers along with results and corrective action plan where applicable
  • Maintain an updated headcount and org chart for the team (including updated HCP file, headcount file, list of open positions, attrition % etc.)
  • Responsible to implement the operational risk management framework and monitor the operational risk related to ISPL Compliance Hub activities. Hence, to analyze control results and incidents to identify main operational risks and follow the associated mitigation/remediation actions (including recommendations)
  • Follow-up and contribute to close recommendations/permanent control actions/incident remediation actions etc.
  • Ensure adherence to reporting in all tools (Risk 360 tool etc.)
  • Ensure respect of the BNPP standards of Code of Conduct
  • Enhance knowledge on OPC controls / risk related topics and be able to handle OPC related queries independently
  • Ensure OPC controls executed and results are shared in a timely manner
  • Increase communication with Onshore (both APAC and Portugal) which could help increase visibility as well
  • Ensure information is collated and sent for any IG / audit requests in conjunction with the managers and Compliance Hub Head

SLA Contract Management:

  • For any ISPL Compliance SLAs (new or updates) contribute to the end-to-end SLA management process including contract signing. 
  • Perform updates into Risk 360 tool for each SLA arrangement, by obtaining data from process owner, transversal risk management and retrieving the relevant information from the SLA
  • Address queries raised by liaising with relevant stakeholders and SLA Management team and addressing them on a timely basis
  • Maintain a status report for the different stages of SLA, sending chasers whenever needed and ensuring progress is on track
  • Maintain SLA inventory for ISPL Compliance Hub, with timely updates and ensuring completeness

Business Continuity Management - BCM BC Officer / Correspondents :

  • Department BC Officer / Correspondents are departmental representatives designated by line management to act as primary contact for the India BCM for BC-related matters. They must have sufficient knowledge of the department’s activities and must have adequate delegation by the head of department to effectively fulfil their responsibilities. The detailed responsibilities include:

BC Strategy/Solutions

  • Provide all necessary input to India BCM at analysis, design and testing stages of business continuity planning;
  • Determine the recovery needs, as well as the on-going consideration of the business continuity needs of the department;
  • Maintain Business Continuity documentation (BIA, BC plan, department call-tree list, etc). Together with the Head of Department, the BC Correspondent is accountable for the quality and accuracy of the department’s continuity plan;
  • Ensure that all department staff is aware and annually updated of the contents and critical procedures of the department BC Plan and know how to respond in the event of a business interruption, and redistribute copies of the plan whenever updates and changes are made;
  • Regularly communicate changes in department’s recovery requirements to India BCM and follow up to ensure that BC solution is adjusted accordingly;

BC Testing

  • Coordinate the participation of essential department personnel in BCP tests on a rotation basis;

Training and Awareness

  • Ensure that each existing and new members of the department are familiar with the department’s evacuation procedures.

Crisis Management

  • Organize an appropriate business response for his/her department upon confirmed incident, mobilize the department’s recovery teams and communicate relevant instructions, and provide regular status on business recovery to the BC Manager.

Other Administrative responsibilities:

    • Be the SPOC for Admin, IT Security and Physical Security along with restricted area premises and logistics attached to ISPL Compliance Hub seating plans
    • Maintain, launch, analyze and report surveys such as Voice of Partner (VoP), Team Barometer, Voice of Team  (VoT)
    • Be the SPOC for STELLAR awards and report the same on a quarterly basis to HR Business Partner
    • Management of transversal aspects for the department
    • Participate in transition projects if any

Contributing Responsibilities

  • Professional level knowledge of securities and banking regulation would be an added advantage
  • Minimum 2 years of relevant compliance and or financial product experience is preferred Comfortable user of Microsoft Office (i.e. Outlook, MS Excel; Word, Visio, PowerPoint)

  • Experienced candidate with exposure to outsourcing governance and SLA documentation is preferred
