ROLE DESCRIPTION AND PURPOSE

This role would assist AM MY/NM colleagues on meetings arrangement, travel arrangement, office administrative & etc. including supporting MY senior management on board meetings,

KEY RESPONSIBILITIES

  1. Office Administration (30%)
  • Office administration i.e., request & register visitor pass, stationary requisition, maintenance of fax & copy machines, business cards printing from suppliers, courier service arrangement, coordinate with IT helpdesk on IT issues & etc.;
  • Coordinate with the Company’s approved travel agency on staff travel arrangements in accordance to the Company’s travel policy;
  • Prepares AM MY/NM staff OPE claims submission & ensure the claims is in accordance to the Company travel & entertainment policy;
  • Assist to schedule & secure meetings for respective departments (e.g. meetings arrangements for Board of Directors, Compliance & Risk Management Committees, Sales& Marketing, Investment Committees and etc.);
  1. CEO & Senior Management Support (40%)
  • Assist to coordinate on Board meetings, Investment Committee Meeting or any other management and team meetings.
  • Timely preparation of minutes of meetings and ensure distribution of meeting minutes and follow through on outstanding matters.
  • Assist to prepare board packs, management presentation etc. and where needed, coordinating with various departments to provide their segment in time for meeting. Need to ensure accuracy of all information.
  • Ensure board packs are distributed 2 weeks before meeting.
  • Assist to ensure accurate recoding of data etc. for reporting and management or board meetings.
  1. Business Support (30%)
  • Assist sales team in coordinating and preparation of sales materials/presentations.

KEY INTERNAL / EXTERNAL RELATIONSHIPS

  • Internal: Respective department within BNPP AM and BNPP globally.
  • External: Suppliers, Company Secretary, agencies etc.

ROLE REQUIREMENTS

ESSENTIAL QUALIFICATIONS & EXPERIENCE

  • University graduate preferably in business studies.
  • A good understanding of investment and the financial industry or having interest in investment and financial industry.
  • Strong analytical skills.
  • Strong written skills in English and Bahasa Malaysia. Mandarin will be a plus.
  • Fluent in the use of Microsoft Office, especially in PowerPoint and Excel.
