ROLE DESCRIPTION AND PURPOSE
Being able to handle indistinctively:
The entire fee cycle (receivable & payable), including accruals booking, actual computation and invoicing, collection monitoring, fee income analysis, ICO reconciliation, etc.
The entire payment cycle, including vendor invoices and staff claims control and processing, preparation of accounting entries, preparation and monitoring of payment run, ageing analysis of debtor accounts, etc.
Monthly closing , Management and regulatory reporting
KEY RESPONSIBILITIES
Ensure that i) fees are accounted accurately and paid or received on the correct scope of funds or mandates and for the type of services effectively provided and ii) receivables are invoiced and collected on a timely basis.
Ensure that incoming invoices and staff claims are processed on time, that payment instructions are properly recorded, that the authorization limits are respected and that commercial and staff payments are made in a timely, efficient and cost effective manner with a very limited number of errors
Daily routine
Month-end closing process
Preparation and posting of monthly accruals, preparation of monthly income and expense analysis with explanation of any significant variance, posting of adjustments with respect to expenses and payable, reconciliation of intercompany with internal counterparts , preparation of B/S schedules for debtor and creditors and ageing analysis. Assistance in the preparation of any reporting for any caption relating to fees and expenses or monthly B/S and P&L analysis. Preparation of bank reconciliation and investigation of any outstanding item.
Preparation of monthly local management MIS Reporting.
Preparation of payment entries relating to rebates or sub-advisory fees. Control of incoming staff claims or vendor invoices (with respect to company Travel & Entertainment policy, expense approval matrix, etc.), encoding and keying within the A/P module of Oracle, preparation of the payment batch and update of Oracle balance accordingly. Preparation of intra-group recharge in any. Maintaining of Fixed Asset Register as and when required.
Quarter-end Reportings
Prepare and review regulatory returns and statistical surveys, namely MAS (Monetary Authority of Singapore) Form 1 and 2, Quarterly Income and Expenditure and Survey of Asset Management by DOS (Department of Statistics). Ensure timely and accurate regulatory reporting to the MAS/DOS. Monitor and ensure compliance with regulatory requirements working closely with other business units relating to MAS/DOS reporting matters to gather data/information required.
Preparation of Quarterly GST reporting and ensure timely submission to Inland Revenue Authority of Singapore.
Preparation of Quarterly Procurement Dashboard for internal management meeting.
Responsible to ensure all intercompany accounting are completely accounted for, properly eliminated for month-end close purpose, within the stipulated time frame. Commencing interco accounting reconciliation activities after the quarter close and proactively resolve any issues by preparing quarterly schedule reconciliation for all intercompany accounts
Permanent control
Adherence to documentation of the existing processes with respect to fees and accounts payable, implementation of adequate controls to cover the risks relating to completeness, accuracy and collection of the revenues, efficiency of payable process, performance of ageing analysis on a regular basis and proper escalation of any outstanding at risk.
Others
Participate in yearly budgeting and forecast process
Liaise with Group Tax and external Tax experts on a need basis and ensure that all tax records and filings are accurate and done within timelines
Liaise with statutory auditors for timely completion of year-end audit
Take ownership of cash management in accordance to ALM, including managing of excess cash and FX currency exposure
