Business Overview:
The Legal Administration team comprised of Legal COO, Business Administrative Analysts and Administrative Assistants supports the Managing Director & General Counsel of Wholesale Americas and IHC and New York Legal department in relation to all organizational, operational and transversal matters.
 
Responsibilities:
  • Provided administrative support to Legal Regulatory / Corporate Governance and GDR Litigation / Legal Investigation teams
  • Assist with the coordination and preparation of the Quarterly Litigation Report. Update Seagull and Forecast
  • Assist with obtaining foreign qualifications and dissolutions
  • Assist Regulatory/Corporate Governance Group as required (i.e. Certificate of Incumbency, Signature Authority Requests, Maintain Minute Books)
  • Calendar management (including coordinating meetings with internal and external clients, security access, etc.)
  • Coordinate travel arrangements for visits to foreign BNPP offices, off-site seminars, training programs, industry and business conferences
  • Create and complete meeting itineraries for business travel to European BNPP offices
  • Register legal staff for seminars and conferences
  • Process T&E requests
  • Prepare/create, edit and distribute documents
  • Manage and organize logistics for Legal Dept. internal meetings (i.e. room assignment, equipment, materials, food and beverages, etc.,)
  • Coordinate technical assistance for hardware, software and technical difficulties, including ordering I-phone
  • Answer telephone, electronic filing, faxing, copying, etc.
  • Maintain Regulatory / Corporate Governance and GDR Litigation / Legal Investigation teams attendance records
  • Accepts legal process (i.e. subpoenas) when necessary
  • Work on special projects as required
  • Assist other legal groups as required

 

  • Three + years of in-house or law firm experience
  • Bachelor Degree
  • Excellent oral/written communication, organization & interpersonal skills
  • Work in ambiguity and under pressure, as well as handle multiple projects simultaneously
  • Ability to prioritize workload, sense of urgency and attention to detail (time management)
  • Work well in a fast paced environment
  • Work across the organization as required and maintain high standards of professionalism in all dealings with team members and internal/external clients
  • Technical: Microsoft Outlook, Word, Excel, PowerPoint
