Business Overview:
The Legal Administration team comprised of Legal COO, Business Administrative Analysts and Administrative Assistants supports the Managing Director & General Counsel of Wholesale Americas and IHC (“GC”) and New York Legal department in relation to all organizational, operational and transversal matters.  This position which reports to the GC is responsible for providing administrative support to the GC.  The successful candidate will work closely with members of the Legal Administration team to ensure smooth function of the Legal Department.


  • Manage appointments/calendars to maximize GC’s efficiency; meetings, town halls, speaking engagements, interviews, seminars, coordinate telepresence, conferences, and other special events
  • Manage and organize logistics for meetings; collaborate with Premises, IT, dining room, events services, and external vendors for room assignment, equipment, materials, food and beverages, etc.
  • Develop ideas for department functions in conjunction with the Legal COO and Senior Leadership team
  • Draft and type correspondence, including e-mails, legal documents, memoranda, meeting minutes, PowerPoint presentations applying the Bank’s standard for written correspondence
  • Manage, categorize, prioritize and distribute hardcopy/electronic mail as appropriate
  • Keep track of GS’s projects and deadlines
  • Manage and track work distributed to GC’s staff for attention to ensure assignments are completed within prescribed time frames 
  • Manage hard copy and electronic files while keeping within the Bank’s records retention schedule
  • Ensure in GC’s absence that incoming matters are handled appropriately by the legal department
  • Apply the proper protocol, judgment, and discretion in the management of confidential information and documentation
  • Use of good judgment and discretion in the provision of customer service; develop and maintain strong working relationships across the Bank (including CEO, Executive Committee members and other Executive Admin. Asst.); act as a liaison between executives and business areas and personnel across the Bank
  • Coordinate all aspects of travel arrangements for GC’s international and domestic business travel (meetings, workshops, seminars, industry and business conferences), including itineraries, transportation and necessary, relevant materials
  • Prepare reimbursement for GC’s business expenses through Concur
  • General administrative responsibilities include answering telephone, filing, photocopy, faxing, scanning, etc.
  • Work on special projects for the GC as required
  • Assist other legal groups as required as agreed by the GC


  • 8 to 15+ years of in-house or law firm experience


  • Bachelor Degree
  • Excellent oral and written communication skills

  • Work in ambiguity and under pressure, as well as handle multiple projects simultaneously
  • Ability to prioritize workload, sense of urgency and attention to detail (time management)

  • Technical: Microsoft Outlook, Word, Excel, PowerPoint, Workshare, Concur, SharePoint
