We are looking for a

Facilities Manager - Nordics


Facilities Manager is responsible for the following missions and duties in Norway:

  • Premises and physical security management
  • Procurement and suppliers management
  • Reception function and management of reception staff
  • Travel policy and booking platform

In addition to the responsibilities in Norway, the Facilities Manager will ensure coordination and supervision of the above mentioned subjects across the Nordics in close liaison with the local teams in charge (branch assistants, receptionists).

Facilities Manager will thus have as main objectives to harmonize processes and practices within the Nordic region, to strengthen the different facilities function by defining relevant procedures / guidelines and ensuring follow-up of their implementation, as well as to further develop mutualisation with other BNP Paribas Group in the facilities area.

Periodic travel within the Nordics will be required.

Facilities Manager reports to Nordic COO.

Roles and responsibilities


Premises and physical security management

  • Day to day contacts with various premises providers
  • Organization of physical security controls with building janitor/local providers
  • Contribution ot Business Continuity Planning (BCP): fire/evauation plans etc.
  • Implement work environment related actions as per defined action plan
  • Follow-up branch real estate

Procurement and suppliers management

  • Management of contracts with suppliers
  • Day to day follow-up of suppliers and invoices control

Reception function

  • Organize reception function and management of reception staff

Staff events

  • Follow-up staff events / gifts / social activities budget and costs


Premises and physical security management

  • Management of lease contracts and negotiations with landlords
  • Definition of access control procedures and guidelines
  • Contribution to BCP: management of back-up sites, definition and follow-up of action plans
  • Follow-up of work environment according to local regulation and practices in close cooperation with HR
  • Definition of physical security set up and action plan follow-up
  • Management of premises related projects
  • Premises costs and budget follow-up in liaison with BNP Paribas Group real estate teams

Procurement and suppliers management

  • Management of local procurement function in line with Group procedures
  • Define guidelines and framework for suppliers selection and monitoring
  • Budget and suppliers costs follow-up, invoices control

Reception function

  • Follow-up of outsourced reception services (Sweden, Finland)

Travel policy and booking platform

  • Maintain travel policy according to Group and local management guidelines
  • Reporting, controls and improvements proposition

Main skills and competencies

  • Relevant higher education
  • Previous experience with facility management is a pre-requisite
  • Experience with budget and suppliers follow-up, as well as a cost conscious attitude
  • Structured and able to cope with many parallel tasks and responsibilities
  • Have a strong sense of initiative and self-drive
  • Strong communication skills, including fluency in one of the Scandinavian languages as well as English
  • Service focused, flexible and willing to take on small and large tasks
  • Ability to build and maintain strong relations; direct report, local teams and suppliers
